Expense-report tools charge per member, every month, to turn a pile of receipts into a report your accountant will accept. Here is the honest case for doing it with a tool you buy once — and a straight look at the free field.
What expense SaaS actually costs
Prices read on the vendors' own pages on 2026-07-22:
- Expensify — Collect $5 per member/month (read 2026-07-22). On 5 September 2026 that pricing page would not render its plan cards to us, and
use.expensify.com/pricingmerely 301s back to it, so the figures here are not being re-dated on the strength of a page we could not read. What we could read is Expensify's own announcement of the change, which states the rate as "flat $5/member/mo" with "no annual commitment, even if you don't use the Expensify Card", applying to "all customers who signed up after April 1st, 2025" (read 5 September 2026). Treat the $9-per-active-member figure recorded in July with caution: it is not confirmed by that announcement, and we could not check it at the vendor today. Outside the US the same post lists £5, A$8 and NZ$9. - Zoho Expense — a genuinely free tier, and the 5 September 2026 re-read put numbers on it: three users, 5 GB of receipt storage and 20 receipt scans per user per month, at $0. Above it, Standard is $4 per user monthly or $3 billed annually, Premium $6 or $5 (all read 5 September 2026). Twenty scans a month is a receipt every working day and a half, so for a genuinely small team the free tier is not a teaser — it is the product. If your data living in Zoho's cloud is fine, that is an honest option, and the comparison to make is about ownership rather than price.
Per member is the part that scales against you: a 5-person team on Expensify Collect is $25/month — $900 over three years.
The free self-hosted field (honestly thin)
For business expense reports with receipt extraction, the open-source field is thin. Personal-finance tools like Firefly III are excellent and free, but they are personal budgeting ledgers, not per-member business expense-report generators with receipt OCR — so naming one as a drop-in would be dishonest. (That project's site answered HTTP 403 to our 5 September 2026 re-read, so this description rests on the earlier reading rather than a fresh one.) If a personal ledger genuinely covers your need, Firefly III is a strong free choice.

The three-year arithmetic
Against Expensify Collect at $5/member/month for a 5-person team ($25/month), Expensa's $89 one-time purchase breaks even in the fourth month, and then the meter stops — over three years that is roughly $900 rented versus $89 owned (plus your own metered AI-key usage, which for occasional receipt batches is cents).
