What is Approva?

Approva is self-hosted purchase approval software. A request goes in, the amount decides whether it needs one, two or three approvers, and the rule that applied is frozen on the record at submission — so the trail still reads correctly after you change your thresholds. Once a request is fully approved, one click turns it into a numbered purchase order. You buy the license once and run it on your own server, so there is no per-user monthly fee. It deliberately does not pay vendors and does not post to a general ledger.

How do the approval thresholds work?

You set amounts in your own currency — company-wide, and per cost center where a department needs its own rule. A request at or above a threshold needs the next approval level; the levels required are frozen on the request at submission, so editing a rule later never re-decides an old request. Cost centers without their own rule inherit the company list.

Is it multi-user? What are the roles?

Yes — three roles: requester, approver, and admin (who can also act as an approver and manages vendors, cost centers, settings, and PO generation).

Does it integrate with QuickBooks, Xero, or SAP?

Not with prebuilt connectors — but Approva ships a REST API with an OpenAPI spec and HMAC-signed webhooks, so approvals and POs can be pushed anywhere by Power Automate, Zapier, n8n or your own code, and 3.0 adds an MCP endpoint so an AI agent can drive it under the same approval rules a person faces. The register also exports as CSV and JSON, and every request and PO prints as a PDF.
