Inspection and Calibration Records, Priced Per User Per Month — A Cost Teardown

An inspection register is a list of assets, a list of checks, and the date each was last done. It is sold per user per month, which prices it by the size of your team rather than the size of the job. Two vendors' published positions, and what the meter is really counting.

Every audit asks the same two things about a piece of equipment. What is due on it, and what was last done to it.

The register that answers those is small. Assets down one side, inspection types across the top, a date in each cell and a certificate attached to it. There is no workflow, no approval chain, no planning engine — it is a record of fact.

The software that owns this category is priced per user per month, which is a strange way to price a list of dates. Here is what two of them publish, and what that meter is actually counting.

What the vendors publish

MaintainX prices per user, with a free tier:

'$20 per user/month billed annually' … '$25 billed monthly' … '$65 per user/month billed annually' … '$0 per user/month'

They also define the meter precisely, which is more than most do:

'A user is defined as someone who uses the MaintainX app and has a unique login. Requester accounts are free.'

Limble publishes nothing. Its pricing page names three tiers — Standard, Premium+, Enterprise — and routes to a calculator:

'Calculate my price'

Both were read on 22 August 2026. Widely-quoted annual figures for Limble exist on comparison sites; none of them is Limble's own page, so none is cited here. That a vendor does not publish is itself a fact worth recording, and it is recorded as that rather than filled in with an estimate.

The arithmetic, labelled as arithmetic

MaintainX did not publish a team total; the multiplication is ours.

A three-person maintenance team on Essential, annual commitment, is 3 × $20 = $60 a month, or $720 a year, or $2,160 over three years. On Premium it is 3 × $65 = $195 a month — $7,020 over three years.

Hire a fourth engineer and both figures rise by a quarter. Nothing about the register got bigger; the same assets, the same checks, the same dates.

What the meter is counting

MaintainX is explicit and, to its credit, fair about it: requester accounts are free, and a paid user is someone with a login who uses the app. That is a reasonable line to draw for a CMMS, where the people doing work orders are the product's whole audience.

But it prices the register by headcount, and the register does not scale with headcount. Fifty extinguishers need checking annually whether three people or thirty do the checking.

Limble's meter is not visible at all, which is its own kind of pricing: the number arrives after a calculator and a conversation, and can be different for you than for the buyer after you.

Where the free tier actually lands

MaintainX's Basic tier is $0 per user per month, and for one person tracking a handful of assets that is a genuinely good answer. It should be said before any comparison, because a teardown that ignores a free tier is not a teardown.

The question is what happens on the day a second and third person need logins, which for most maintenance teams is immediately.

What you are buying at the higher tiers

You are buying a CMMS: work orders, parts inventory, purchase orders, maintenance planning, meters, mobile workflows. That is a substantial product and it solves a real problem.

Inspectora does not do any of it. There is no work-order workflow, no parts inventory, no planning. It is the due board and the logbook — what is due, what is overdue, and what was last done to this asset, with the certificate attached.

The two screens the register exists for

The due board puts every asset against every inspection type, each cell coloured in date, due soon, overdue or never done, and hatched where a check does not apply to that class of asset. Due dates are computed from the last inspection, never stored, so nothing goes stale between a cron that did not run and a screen somebody is reading.

The logbook answers the other question: what was last done to this asset, by whom, when, with the certificate on the record. The board is what an inspector asks first. The logbook is what a warranty claim rests on.

There is a calendar feed too — a read-only .ics URL that puts every upcoming due date into Outlook or Google Calendar and keeps itself current, revocable because the link is the credential.

The honest trade

Inspectora does not perform inspections and does not certify them. It records that one happened and holds the evidence. The people named on records do not log in; the staff who administer the register do, with roles and 2FA. One organisation per installation.

Changing an interval affects what is due next and does not rewrite history already on file.

Where this lands

Per-user-per-month is the right shape for software whose value scales with the number of people using it. An inspection register is not that software. Its value scales with the number of assets and the consequences of missing one, neither of which is on the invoice.
