Tokora — Queue & Token Display System (PHP + MySQL, Self-Hosted) vs. renting SaaS

Self-hosted queue & token display — issue numbers, call them to counters, run the waiting-room board.

Qminder — rented
Business $869/month month-to-month ($9,468/year on annual billing, about $789/month) and Premium $1,149/month ($12,588/year) [1]
Break-even: 1 month of Qminder equals the one-time price.
Assumption: An enterprise queue platform whose entry plan costs more per month than Tokora costs once. Tokora runs the same call-the-next-number board on a screen you already own.
How their pricing grows: Qminder's plans are tiered by the number of included users, so cost rises as a team adds seats beyond the plan's allotment.
“We offer different tiers that are based on the number of users and some functionalities.” — read 2026-08-11
What Qminder does that we don't: Qminder sends SMS updates to visitors before and during their visit, a notification channel Tokora's display-board approach does not include.
If you need SMS or push notifications to alert visitors instead of a walk-in board they watch, stay where you are — Tokora does not do that (no SMS or push notifications).
Waitwhile — rented
Free (1 location, 50 visits/month); Starter from $31/month (10 locations, 2,500 visits) and Business from $55/month (10 locations, 5,000 visits) [2]
Break-even: 3 months of Waitwhile equals the one-time price.
Assumption: Real free tier for tiny use; beyond it a recurring monthly bill, and the paid tiers meter visits as well as locations. Annual billing is stated as 20% off but the page prints no annual figure. Tokora is one payment, unlimited.
How their pricing grows: Waitwhile sells three fixed, tiered plans priced by scale, starting at $31 a month.
“Waitwhile offers 3 fixed plans with tiered pricing start as low as $31/month.” — read 2026-08-11
What Waitwhile does that we don't: Waitwhile includes an appointment-booking module for scheduling, not just a live walk-in queue, which Tokora does not offer.
If you need appointment booking and scheduling rather than a live walk-in queue, stay where you are — Tokora does not do that (it manages a live walk-in queue, not appointment booking).
Skiplino — rented
Queue Management Professional $299 per month per location billed yearly; Enterprise $399; Appointment tier $99; Retail tier $99; Virtual Branch $549; custom pricing on request [3]
Break-even: 1 month of Skiplino equals the one-time price.
Assumption: The queue-management entry price per location on yearly billing, the only period the page shows. Tokora is one payment for the location.
How their pricing grows: Skiplino meters PER LOCATION PER MONTH on a yearly commitment, with a separate ladder per product line.
“$299 per month/location” — read 2026-08-30
What Skiplino does that we don't: Skiplino is an enterprise queue platform with appointment booking, virtual branches and multi-region deployments.
Stay with Skiplino if you run many branches and need virtual queues and appointments across them. Tokora is the take-a-number board for one counter, on your own server.

SaaS figures use the cited plan price above (see the sources below); per-seat plans scale by the seat count from the same cited price. This is arithmetic, not a quote.

Qtrac (now Frontlion) [4]

No single-location price is published: the quote is assembled per location per month by tier and module (modules list from $59 to $295 per location). Their own worked example reads "your estimate $1,144/mo 8 locations · tier 2 · 2 modules", plus one-time deployment "$11,000 to $14,000"
No monthly figure is stored because none applies to a single counter: the only complete number on the page is an ESTIMATE for eight locations with two modules, and putting $1,144 beside a one-counter shop would misread their own estimator. What the row does carry is the shape — per location, per module, per tier, with a five-figure one-time deployment before anything runs. Tokora is $69 once and installs itself.

How their pricing grows: Frontlion prices per LOCATION per month, then again per MODULE, and adds a one-time deployment fee before the subscription starts.

“plus one time deployment, $11,000 to $14,000”

What Qtrac (now Frontlion) does that we don't: Frontlion assembles the quote from how a site actually runs rather than from a tier ladder, and lists every module rate openly instead of hiding them behind a call.

Stay with Frontlion if you run queues across many branches and need appointments, messaging and integrations managed for you. Tokora is the board itself: issue numbers, call them to counters, run the waiting-room display — one payment, one installation, no deployment fee.

Why owning beats renting here

  • One payment. No per-month, per-seat, or per-location fees — the license is perpetual.
  • Your data stays on your server. Customer records never live in someone else's cloud.
  • No plan ceilings. Records, users, and usage are limited by your hosting, not a pricing tier.
  • It keeps working if the vendor doesn't. Self-hosted software can't be sunset out from under you.

Fair trade-offs: you host it, you back it up, and updates are yours to apply — see the product page for honest limitations.
